Attachment Files

 

· Attaching a diagram or other file to a record

 

First Look Pro 4 allows you to attach essentially any type of file to your pre-plan records. Unlike previous versions of First Look Pro, you can browse to attach files located anywhere on your local computer, or across your network.

 

Once attached, most types of graphics files will be displayed in the lower-right viewing panel of First Look Pro and you can choose to expand the view of the image to the full screen. Other file formats, such as Microsoft® Word .doc and Adobe Acrobat® .pdf can be displayed with a box  you click that launches the application with that file opened automatically.

 

To attach a diagram or an image file to an occupant record:

 

1.      In Edit Mode, navigate to the record where you want to attach the diagram or other file.

 

2.      Click the New attachment icon in the attachment display area, on the right side of the screen.

 

 

The “Select File” dialog box will appear.

 

 

3.      Choose the kind of file to add by clicking the appropriate icon. 

 

The Fire Zone icon is for adding CAD Zone .czd files to your record.  The Image icon is for adding .bmp, .jpg, .pcx, .png, tga, .tif or .wmf files to the record. Visio, .pdf, Microsoft Word, and other file formats (such as .txt or .rtf file formats) can be attached by clicking the appropriate button.

 

A standard Windows file selection dialog box will then appear.

 

4.   In the file selection dialog box, browse to the file you want to attach. 

 

5.      Click on the file’s name and then click the Open button.

 

The selected file will be attached to the current record.

 

Your newly-added attachment should now appear in the Preview Window. You can add as many attachment files as you want to a record.

 

Diagram and image files can also be viewed full screen by clicking the green arrow at the upper-left of the preview window.

 

When you attach a Fire Zone diagram (.czd format) to a record, some zoom commands are available for use in the preview window and in full-screen mode. You can also click the CAD Zone Viewer or Fire Zone icons to open the file in one of those programs.

 

Use the Update button when you modify a file that has been attached to a record. First Look Pro 4 stores all attachments as part of the database file, so if an attachment is changed, you must update the database to bring in the new file.

 

Note: Attachments are listed in the order that they were added to the record rather than alphabetical order. You use the arrow buttons at the upper-right of the screen to navigate to different attachments. You may change the display order of attachments by clicking the “Change Order” button located on the diagram information screen and then moving them with the Attachment Sorter tool.
